At Verico Complete Mortgage Services Inc. and its affiliates, we are committed to protecting the privacy and confidentiality of the personal information of our clients. As financial service providers, we have a professional obligation to maintain in confidence information we receive within our role as a financial services provider. The purpose of this Privacy Policy is to advise you of the principles and guidelines we apply with respect to your personal information.

What Personal information do we collect?

British Columbian and Canadian privacy legislation defines "personal information" very broadly. Generally speaking, it will be information which:

“is about an identifiable individual; or allows an individual to be identified; and in either case, is not information which is already "public" according to exceptions set forth in the applicable legislation.”

Generally speaking Personal Information does not include what is considered business contact information: your name, title or position, business address, telephone number, facsimile number, or e-mail address. Certain information, such as your name, home address and telephone number, may be exempted under British Columbia legislation. In addition to this information, we may also collect your personal email address, income and employment information, asset, liability and net worth information, and other information which is necessary for us to gather in connection with an application, pre-approval, or request for information concerning mortgages, loans or other products or services purchased or applied for through Verico Complete Mortgage Services or any of our affiliates or sub-mortgage brokers (including Personal Information about family members, beneficiaries, directors, officers, employees, potential guarantors and other relevant parties).

Why do we collect your personal information?

Verico Complete Mortgage Services collects and uses Personal Information for the following purposes:

  • Provide mortgage brokering services to the Client and offer products and services best suited to their needs, including arranging and/or renewing loan(s)/mortgage(s), informing the client of group creditor insurance and other products offered or approved by Verico Complete Mortgage Services or its affiliates that may be of interest to the Client;
  • Checking Client credit worthiness through credit bureau inquiry and personal information agents who have information on a Client’s financial position.
  • Advising Clients of the financial options, as well as, ongoing developments of the mortgage market and industry;
  • Auditing the services provided to our Clients;
  • Complying with all municipal, provincial, federal and other applicable laws;
  • Any other purpose to which you consent

Except when otherwise permitted by law, we will only use your Personal Information for the purposes identified to you, either in this Policy or directly by Verico Complete Mortgage Services Inc. or one of its affiliated brokerages. When Personal Information is to be used for a purpose not identified, we will take all reasonable steps to ensure that the new purpose is identified and consented to you prior to such use.

To whom do we disclose your personal information?

From time to time, Verico Complete Mortgage Services Inc. may disclose your Personal Information to:

  • prospective lenders, financial institutions, insurance companies and other suppliers of products or services Verico Complete Mortgage Services is providing or offering to you;
  • sub-mortgage brokers and other staff within Verico Complete Mortgage Services Inc. and its affiliated brokerages for purposes related to the services we are providing to you;
  • service providers, including organizations or individuals we have retained to perform functions on our behalf, such as office and registry services;
  • organizations or individuals retained by us to evaluate your creditworthiness or to collect debts outstanding on an account;
  • a person who, in the reasonable judgment of Verico Complete Mortgage Services Inc., is providing or seeking the information as your agent or who is otherwise legally entitled to receive that information;
  • police or other authorities where in Verico Complete Mortgage Services Inc.’s opinion such disclosure is required for protection of the public interest, including any case where we suspect criminal activity such as fraud or money laundering;
  • any law firm(s) which may be retained to act on our behalf for any reason;
  • our insurers and to regulatory agencies such as provincial financial institutions commissions or others in connection with regulatory or other activities relating to our obligations and/or our mortgage brokerage businesses; or
  • any third party or parties, where you consent to such disclosure or where disclosure is required or permitted by law.

As many of our dealings with lenders and other parties are conducted through electronic means of communication, you specifically consent to our transmission of your Personal

Information by electronic means, including by email and facsimile transmission, for all purposes identified in this Policy or otherwise consented to by you.

Where is your Personal Information stored?

Your Personal Information is stored in secured locations and on computers and computer servers controlled by Verico Complete Mortgage Services Inc. or its affiliated brokerages.

Your file will be kept physically at the office of your independent mortgage consultant with Verico Complete Mortgage Services Inc. until a loan/mortgage is funded, after which, it is scanned and sent to Verico Complete Mortgage Services corporate office for compliance review and then electronically stored on the secure computer systems. Your file will also be subject to the privacy policy of the lender that funds your mortgage.

Once a file or matter has been completed, paper records may be stored in off-site storage facilities.

How do we protect your Personal Information?

While at Verico Complete Mortgage Services Inc. the access to your file is restricted to personnel on a need to know basis. Our personnel are required to safeguard the confidentiality of your personal information and privacy. We have systems in place which safeguards your personal information and prevents unauthorized access.

How can you obtain access to your Personal Information?

Upon your written request, Verico Complete Mortgage Services Inc. will inform you of the existence, use, and disclosure of all of your Personal Information which we have in our possession and will give you access to that information. Access requests should be sent to our Privacy Officer, using the contact information below.

Changes to the Privacy Policy

Verico Complete Mortgage Services will from time to time review and revisit privacy practices and this Privacy Policy. In the event of any material amendment, an appropriate notice will be posted on our Web site. All updates and amendments to this Privacy Policy can be found at www.cfsgroup.ca.

Our Web site may contain links to other sites, which are not governed by this Privacy Policy. On our Web site, like most other commercial Web sites, we may monitor traffic patterns, site usage and related site information in order to optimize our web service. We may provide aggregated information to third parties, but these statistics do not include any identifiable personal information.

Consent

Your provision of Personal Information to Verico Complete Mortgage Services Inc. means that you agree and consent that Verico Complete Mortgage Services Inc. can collect, use and disclose your Personal Information in compliance with this Privacy Policy. Verico Complete Mortgage Services Inc. will not collect, use or disclose a Client’s Personal Information without the Client’s requisite consent, except in certain extraordinary circumstances. Such extraordinary circumstances shall include without limitation, when legal, medical or security reasons make it impossible or impractical to obtain consent or where it is otherwise in the best interests of the Client.

The most common method we use to obtain a Client’s consent is by way of the Client’s consent as confirmed by the application. Where practicable, we may also obtain a Client’s consent through oral communications or other written documentation.

Our Clients may withdraw their consent by written notice to us at any time, subject to any legal or contractual restrictions and reasonable notice. A Client’s refusal to provide, or subsequent withdrawal of, his or her consent may affect Verico Complete Mortgage Services Inc.’s ability to provide the Client with mortgage services. A member of Verico Complete Mortgage Services Inc. will inform the Client of the implications of such withdrawal.
